Letter and Report writing Skills – Checklist for writing letters

Our letter writing course will allow delegates to gain useful letter writing tools, tips and techniques and also includes constructive letter and report templates. Delegates who have trained with us have effectively applied the skills gained from this course to their everyday workplace correspondence. This productive course will also demonstrate the particulars of writing effective emails, whilst improving punctuation and grammar.

As your professional reputation can be enhanced or ruined by your correspondence, it is essential that the style, content and message is concise, correct and appropriate.

LETTER WRITING CHECKLIST

You will save considerable time, and improve the quality of your letters, if you undertake a bit of planning before you write.

Take a letter that you have to write and work through the sections below. An example is given to guide you.

Objective

Why am I writing to this person?

 to reply to an enquiry in response to our advertorial in the local newspaper

Reader

What do I know about the concerns and knowledge of the reader?

 she is concerned about quality, prior knowledge of delivery date, before price.

Planning

What do I need to include in the letter?

 reference to our brochure and price list, how we operate (non-standard service, one contact throughout job), samples available, follow-up.

Structuring

What order should I put the information in?

 brochure and price list as requested / samples available, one contact throughout job (relate to delivery), our non-standard service options, I will ring.

Only now are you ready to write.

  • Have I addressed the letter correctly?
  • Does the salutation (Dear…) match the address?
  • Does my heading accurately describe the content?
  • Is my opening paragraph non-standard?
  • Does the opening paragraph tell the reader why I am writing?
  • Does my closing paragraph either:

v  look forward to future action, and/or

v  summarise the content of the letter?

  • Is my closing paragraph specific to the content of the letter?
  • Have I listed enclosures?

Have I signed off correctly?
