Newsletter  – Appointment Making for Sales Professionals

Depending on the objective of your company the telephone can be a very successful method of generating business. You can use the phone to generate enough interest from your potential customers to make an appointment, or you can sell your product or service on the phone. There are stages you should go through to ensure you have the best selling opportunity.

 Structure Of Appointment Making

  •  Introduce yourself and company

Always use your full name and company name, use your customers’ full name until you have been invited to be on first name terms. 87% of your message by phone is conveyed through your tone so smile as you dial, your potential customers can hear if you are relaxed and positive.

  • Contact the M.A.N (Money, Authority, Need)

Ask for the person who will know company’s needs; has the authority to buy; and who will sign the cheque. Unless you clarify this up front you might be wasting your valuable time.

  • Handle the Gatekeeper, if necessary and re-introduce yourself to the M.A.N (Money, Authority, Need)

Always accept offers of help from the gatekeeper. (Remember, it is part of their job to stop salespeople from taking up their boss’ valuable time). If you are friendly you will find them more receptive and eager to help if you have to call back.

  • Instill urgency

You may need to create urgency if you have a time-limited offer etc.

  • Arouse interest

At this early stage you must say something which will disturb complacency and arouse interest. People buy through either: fear of loss or opportunity of gain. If you can appeal to both/either of these motives then an appointment should follow. Talk about the Unique Selling Points (USPs) of your company. Make the customer want to see you.

  • Mini need-find

You may want to ask a few direct open ended questions to try and establish some definite needs up front.  This will help you plan your ‘sales call’ better to maximise on the possible result.

Open Ended questions begin with: WHO ? WHAT ? WHY ? WHERE ? WHEN? or HOW ?

  • Signpost

In business it is essential to let the customer know what will happen in the meeting, this is called signposting.

  • Qualify and consolidate

Check you have secured a quality appointment by asking the customer to diarise your visit. You can ask for directions/parking to help build rapport. Tell the customer how important and valuable time is for both of you. Leave a contact number in case the arrangements need to change in the meantime. Ask the customer if there is anything in particular you would need to bring. Remember always personalise your information to ensure you don’t sound scripted. The customer’s phone rings hundreds of times a day, why should she/he listen to you?
